About the Position

Our Camp Administrator is the first person our guests and clients will interact with at Camp Evergreen.  This position requires compassion, patience, helpfulness, and kindness. This position is responsible for the day-to-day incoming communication, management of the general camp email, and social media accounts. It is the event registrar for retreats, special events, and summer camps. Though primarily operating in the background, their role is integral to providing excellent customer care by communicating and connecting people. Through their role in supporting the ministry and organization of Camp Evergreen, the Camp Administrator will also commit to serving campers and guests with an exceptional standard of care.

Responsibilities of all Camp Evergreen Staff:

  • Uphold the mission, vision, core values, and core anchors of Camp Evergreen with the highest standard of excellence.
  • Uphold Camp Evergreen policies and adhere to policies, best practices, and principles related to standards of service care as established by recognized authorities.

CORE RESPONSIBILITIES

General Office Management- 30%

  • Manage the main phone extension for the camp and the general inquiries email (main@camp-evergreen.com).
  • Pick up and deliver mail every 1-2 days.
  • Responsible for ordering office and custodial supplies.
  • Maintain orderly digital and physical record-keeping systems, including digitizing documents and files
  • Coordinate and maintain vehicle insurance records, including assisting with renewals and setting up new drivers within the insurance system.
  • Assist with office technical issues and troubleshooting, utilizing available technology tools and coordinating with external vendors to resolve problems and maintain office devices and systems.

Communications – 20%

  • Responsible for sending email blasts:
    • Event-specific blast emails throughout the year for summer camps, retreats, AGM, etc…
    • Pre-event reminders and preparation newsletters (packing lists, check-in information).
    • Maintain monthly communication with partner churches regarding updates, needs, and upcoming events.
    • Maintain and add subscribers to our email marketing system.
  • Responsible for creating engaging and consistent content and posting for Camp Evergreen’s social media sites (Instagram and Facebook).
  • Create and execute a Social Media posting schedule. Providing seasonal advertising campaigns and promotional content for registration launches, fundraisers and camp events.
  • Maintain and update website content and event information as needed throughout the year.
  • Assist with any large mail-outs, generating mailing lists, and coordinating the effort to finish large camp mail-outs.

Event Registrar – 35%

  • Administration and implementation of all forms required for registration through CampBrain software.
  • Manage the registration process for all events hosted by Camp Evergreen. These events may include summer camps, retreats, fundraisers, and special events.
  • Responsible for the emailing and follow-up of any outstanding invoices with clients regarding our events.
  • Oversee the check-in process for the aforementioned events.
  • Manage any communications leading up to the events (see Communications)
  • Create forms for inter-office use for Events (accommodations, medical information, cabins information, etc…).
  • Process monthly installment payments and assist in streamlining camp revenue and payment processes in coordination with the business director.

Executive Assistant – 15%

  • Coordinate with the Executive Director on executive-level projects and tasks as needed.
  • Assist in Septic inventory management, septic spreadsheet management, and reviewing incoming septic lab reports while flagging concerns to maintenance or engineers when required. Assist with panel data retrieval and maintain annual septic documentation.

  • College/University degree or equivalent experience.
  • Ability and willingness to learn and adapt to new software and technology:
    • CampBrain (Event Software)
    • OpenOffice Suite
    • Google Office Suite and Drive.
    • Utilize AI and other emerging technologies to streamline administrative processes, improve efficiency, and assist in creating timely communications and operational systems.
  • Demonstrated ability to handle sensitive and/or confidential situations respectfully and compassionately.
  • Good health and stamina.
  • Valid driver’s license and clean background checks.
